About the role

DGA Group is looking for a dynamic, organised and people-oriented Reception & Office Assistant to join our team in Brussels for a 12 months internship contract, with the possibility to get a permanent position. In this role, you will help keep our office running smoothly, support our team with day-to-day administrative needs, and contribute to the organisation of both client and internal events. You’ll be part of a vibrant international team, gain hands-on experience across a variety of responsibilities, and have the opportunity to develop your skills in a fast-paced consultancy environment.

Responsibilities

Office & Reception

  • Welcome clients and visitors and ensure a professional office experience.

  • Manage incoming calls, the general inbox, mail, deliveries and couriers (Answer and direct incoming, take messages and dispatch by mail or telephone)

  • Coordinate meeting rooms, including bookings, set-up, catering and refreshments for meetings and events.

  • Ensure the office, reception, meeting rooms and shared spaces are well organised, presentable and fully stocked at all times.

  • Manage office supplies, suppliers and day-to-day office needs.

  • Provide day-to-day administrative support to the team and assist with a variety of office-related requests.

  • Monitor visitor access and support basic office security procedures.

  • Coordinate with suppliers and service providers and help resolve day-to-day office issues.

Events

  • Work closely with the team to coordinate client events.

  • Support event planning and logistics from preparation through to delivery.

  • Coordinate catering and other event suppliers, including placing orders and managing deliveries and set-up.

  • Bring new ideas and help organise internal events and team activities.

Qualifications

  • Strong organisational skills and attention to detail.

  • Proactive, resourceful and service-oriented.

  • A people person who enjoys interacting with colleagues, clients and visitors.

  • Professional, discreet and comfortable in an international environment.

  • Able to multitask, prioritise and remain calm under pressure.

  • Fluent in English and French; Dutch is a plus.

  • Reliable and flexible when needed.
