We are looking for an IT Service & Procurement Operations Specialist who will help ensure that IT services, software licenses, subscriptions, and vendor-related purchases run smoothly from request to renewal.
This role is a great opportunity for someone with a Buyer, Operational Buyer, or Procurement Specialist background who enjoys working with customers and suppliers, keeping operations organized, and solving day-to-day challenges — while developing new capabilities in digital and financial operations.
What You'll Do
Procurement & Purchase Order Operations
- Create, process, validate, and follow up on purchase requisitions and purchase orders for IT services, software licenses, subscriptions, and vendor services.
- Track orders, approvals, costs, renewals, and license expiration dates.
- Provide clear and timely status updates to internal customers.
- Coordinate with suppliers and cross-functional teams across Procurement, IT, Finance, and the business.
- Help resolve purchase order discrepancies, invoice inquiries, supplier concerns, and service-related issues.
- Ensure purchasing activities are completed in line with applicable procurement processes and contractual requirements.
IT Service & Vendor Coordination
- Maintain accurate information related to vendors, services, license quantities, costs, ownership, and renewal schedules.
- Support renewals for IT services, software subscriptions, and vendor agreements.
- Review quotations and coordinate the approvals or changes required to keep services running smoothly.
- Proactively follow up on upcoming renewals and purchasing activities to help prevent service interruptions.
- Build effective relationships with internal customers and external suppliers.
Cost & Forecasting Support
- Support the operational tracking of IT service costs and related financial information.
- Assist with forecast updates and maintain accurate cost, billing, and allocation data.
- Partner with different stakeholders to improve visibility and reliability of financial and operational information.
- Develop your knowledge of cost management and forecasting as part of the role.
Process Improvement & Automation
- Identify opportunities to simplify and digitalize operational processes.
- Help create easier ways for internal customers to access purchasing, cost, and service information.
- Look for opportunities to reduce manual follow-up and improve visibility through automation.
- Contribute ideas and improvements as processes and services continue to evolve.
What You'll Bring
- Bachelor’s degree in Business Administration, Supply Chain Management, Finance, Information Technology, or a related field.
- Experience as a Buyer, Operational Buyer, Procurement Specialist, or in a similar purchasing or procurement operations role.
- Hands-on experience creating and following up on purchase requisitions and purchase orders.
- Experience collaborating with internal customers, suppliers, and cross-functional stakeholders.
- Familiarity with SAP or similar procurement/purchasing platforms is a plus.
- Good Microsoft Excel skills.
- English proficiency to confidently collaborate with international stakeholders.
- Strong organization, follow-up, communication, customer orientation, and problem-solving skills.
