Position Overview

The Dispatcher is responsible for coordinating and monitoring daily transportation activities, ensuring efficient and timely movement of shipments. This role requires close communication with drivers, carriers, customers, and internal teams to maintain service quality, resolve issues, and optimize route planning.

Key Responsibilities

Transportation Coordination

• Assign and schedule drivers and vehicles according to shipment requirements.
• Plan optimal routes based on load priorities, deadlines, and regulations.
• Monitor vehicle movement via TMS/GPS systems and ensure on-time delivery.

Communication & Support

• Serve as the main point of contact for drivers during transit.
• Communicate updates to customers, carriers, and internal stakeholders.
• Handle real-time issues such as delays, equipment failures, or route changes.

Documentation & Systems

• Create and update transport orders in the TMS or ERP.
• Prepare shipping documents (CMR, PODs, dispatch instructions).
• Maintain accurate records of routes, incidents, fuel usage, and driver hours.

Compliance & Safety

• Ensure all routes and operations comply with transport regulations (EU/CEE).
• Monitor driver working hours and rest periods.
• Support incident reporting and compliance processes.

Operational Efficiency

• Optimize load combinations to reduce empty mileage and cost.
• Monitor KPIs such as on-time delivery, load utilization, and productivity.
• Recommend process improvements to enhance operational performance.

Key Requirements

Education & Experience

• Secondary school or higher education; logistics background preferred.
• 1–3 years experience in transportation or dispatching (fleet or carrier).
• Experience in international road transport is a plus.

Skills

• Strong communication and multitasking abilities.
• Good knowledge of transportation processes and CMR regulations.
• Proficiency in TMS/ERP and MS Office; GPS tracking tools.
• Stress resistance and problem-solving skills.
• Fluent in [required languages — e.g., English, Ukrainian, Polish, Russian].
