QUALIFICATIONS & EXPERIENCE:

Education

  • Bachelor's degree in Education, Business Administration, Development Studies, Social Sciences, or a related field. An equivalent combination of education and relevant experience may be considered.

Experience and Knowledge

  • Minimum of two to three years of relevant experience in education, training, programme coordination, administration, operations, community development, or a related field.
  • Demonstrated experience coordinating educational, training, capacity-building, employability, or community-based programmes.
  • Experience supervising or coordinating administrative, reception, customer-service, or support staff.
  • Strong organizational and coordination skills, with the ability to manage multiple activities, stakeholders, priorities, and deadlines.
  • Experience working with trainers, participants, service providers, and cross-functional internal teams.
  • Familiarity with programme monitoring, data collection, reporting, database management, and maintenance of accurate operational records.
  • Experience in an NGO, educational institution, training centre, or development organization is preferred.
  • Good understanding of training and learning environments; experience in employability, workforce development, youth, or community programmes is an advantage.

Technical and Language Skills

  • Proficiency in Microsoft Office applications, spreadsheets, databases, and online communication tools.
  • Fluency in Arabic and a good command of written and spoken English.

The position

BACKGROUND

Om Habibeh Mohamed Shah Aga Khan Foundation (OHF) is an Egyptian non-profit foundation serving the people of Aswan for over 35 years. The foundation is an affiliate of the Aga Khan Development Network (AKDN), which supports over 1,000 initiatives in over 30 countries around the world.

The Foundation was established by Om Habibeh Mohamed Shah Aga Khan, whose enduring legacy in Aswan reflects a deep and personal commitment to the well-being, dignity, and development of local communities. Her vision continues to guide OHF’s work, anchoring it in compassion, service, and long-term partnership with the people of Aswan. The Foundation works across key sectors including education, health, economic inclusion, agriculture and food security, civil society strengthening, women’s empowerment, and early childhood development.

POSITION OBJECTIVES:

The CEC Coordinator reports to the Work & Enterprise Manager and works closely with the CEC team, trainers, participants, and relevant internal and external stakeholders. The role coordinates the day-to-day operations of the Continuing Education Centre (CEC) and ensures the effective implementation of approved learning, training, and related activities.

The position provides operational oversight across the Centre, including direct supervision of the CEC Administration Officer, Receptionist, and Academic & Technical Specialist. It ensures effective workflow, communication, service delivery, quality assurance, and follow-up across CEC functions.

KEY RESPONSIBILITIES:

Centre Operations and Activity Coordination

  • Coordinate the day-to-day operations of the CEC and ensure the effective implementation of approved programmes, courses, workshops, events, and other Centre activities.
  • Coordinate approved activity schedules and ensure that trainers, participants, venues, materials, equipment, and other operational requirements are aligned and ready for delivery.
  • Ensure that administrative, reception, logistical, and participant-support functions are effectively coordinated and contribute to the smooth operation of the Centre.
  • Coordinate with trainers and facilitators on schedules, operational requirements, attendance, documentation, and other matters necessary for effective programme implementation.

Team Supervision and Service Quality

  • Supervise the CEC Administration Officer, Receptionist, and Academic & Technical Specialist by setting priorities, allocating work, following up on deliverables, and supporting effective collaboration across functions.

Monitoring, Data Management, and Reporting

  • Monitor CEC activities against approved schedules, plans, procedures, and quality standards, and identify and escalate operational issues to the Work & Enterprise Manager as appropriate.
  • Review and consolidate attendance, enrolment, activity, operational, and other relevant data prepared by the CEC team, and provide timely updates and reports to the Work & Enterprise Manager.

Internal Coordination and Strategic Support

  • Coordinate with Finance, Procurement, Administration, Communications, and other relevant OHF functions to facilitate approved CEC activities and ensure timely follow-up on operational requirements.
  • Support the Work & Enterprise Manager in implementing outreach, employability, career-development, partnership, and other strategic initiatives related to the CEC, including coordination of their operational aspects.

Compliance and Continuous Improvement

  • Monitor compliance with CEC and OHF administrative and operational policies and procedures, and ensure that agreed requirements are consistently followed.
  • Identify operational gaps and recommend practical improvements to CEC systems, workflows, controls, participant services, and the overall participant experience.
