About the role
This role serves as the integrated administrative hub for the Group's Hong Kong office, combining office operations, initial financial review, HR process support, and IT enablement. It is a cross-functional, hybrid position.
Key responsibilities
- Oversee office environment maintenance, procurement, equipment record-keeping, and asset inventory
- Coordinate with property management, vendors, and internal teams to ensure smooth office operations
- Review reimbursement claims in accordance with company financial policies, verifying receipt compliance and budget allocation
- Liaise with the Finance department to follow through on reimbursement processes
- Coordinate new hire setup (workstation, equipment, account access, key cards, etc.)
- Handle asset retrieval, system access termination, and documentation filing for departing employees
- Participate in daily maintenance of office networks, hardware/software systems, and meeting room equipment
- Assist the HQ IT team in system upgrades, account management, and basic troubleshooting
- Engage in cross-departmental or regional projects as business needs arise (e.g., employer branding, system rollouts, process optimization)
Requirements
- 3 years of experience or above
- Bachelor's degree or above in STEM or related fields preferred
- Fluent in Mandarin; Cantonese proficiency is an advantage; basic English reading and writing skills
- Must hold a valid Hong Kong work status (Permanent Resident, One-way Permit, IANG, Top Talent Pass Scheme, etc.)
- Logical and systematic thinking – skilled at structuring processes and solving problems in a results-oriented manner
- Hands-on and learning agility – familiar with basic IT/software operations and AI tools, with a willingness to quickly adopt new technologies
- Clear written and spoken communication in both Chinese and English, able to collaborate seamlessly with colleagues across Greater China and internationally
- Highly sensitive and meticulous when handling assets, financial data, and employee information
- Capable of managing multiple tasks simultaneously with proactive prioritization, adaptable to project-based rhythms
