Welcome Officer

Position Summary

The Welcome Officer serves as the primary face and voice of the school, responsible for delivering an exceptional first impression to all visitors, clients/parents , and employees. This role manages front desk operations, handles incoming communications, ensures visitor security protocols, and maintains a seamless, professional environment in the reception area.

Key Responsibilities

  • Guest Experience & Reception: Greet visitors, clients, and vendors warmly; manage the digital or manual guest check-in process; and issue visitor badges.
  • Call & Mail Management: Answer incoming phone calls, filter inquiries, route callers to appropriate departments, and handle incoming/outgoing mail, packages, and deliveries.
  • Security & Compliance: Ensure sign-in procedures and non-disclosure agreements (NDAs) are completed by guests; maintain visitor logs and enforce access-control protocols.
  • Front-of-House Maintenance: Keep the reception area, waiting lounges, and executive meeting spaces clean, presentable, and well-stocked with refreshments or informational brochures.
  • Meeting & Event Logistics: Coordinate conference room bookings, schedule appointments, and set up AV equipment or catering for guest meetings.
  • Administrative/Admission Support: Assist AM and Operations teams with administrative tasks, admission exam, badging systems, expense reporting, or office supply inventory tracking.

Qualifications & Requirements

  • Education: High school diploma required; Associate or Bachelor’s degree in Communications, Hospitality, or Business Administration preferred.
  • Experience: 1–3 years of experience in front desk, hospitality, customer service, or receptionist roles.
  • Technical Skills: Proficiency with MS Office ( Word, Excel), and multi-line phone systems.
  • Key Competencies: Exceptional verbal communication and interpersonal skills. Polished, professional presentation and demeanor. Strong multitasking, prioritization, and problem-solving abilities under pressure. High level of discretion and confidentiality.
