Job Description
What You'll Actually Do
- Daily Operations: Oversee daily office operations, facilities, vendor relations, and B Corp-compliant sustainability practices to maintain a clean, safe, and efficient workspace.
- Internal Events: Lead end-to-end planning and execution for internal celebrations, Lunch & Learns, hackathons, and external industry events or roadshows.
- Visitor Experience: Deliver a warm, seamless experience for all visitors and manage the onboarding process for new team members, including desk setups, inductions, and office tours.
- Executive Support & Travel: Coordinate executive travel arrangements, manage baseline leadership calendars, and oversee office operational budgets and supply inventories.
- Health & Safety Compliance: Uphold Health & Safety regulations, manage meeting room logistics, and support community volunteering and DEIB initiatives.
- Logistics: Manage inbound and outbound logistics, including couriers, customs, and material deliveries, while handling ongoing kitchen setup and perks replenishment.
- Global Alignment: Collaborate with global regional coordinators and EAs to share best practices and maintain consistent regional office experiences
What You Bring to the Table

- Practical experience in office management, facilities coordination, and workplace experience operations.
- Proven event management skills with the ability to plan, execute, and host engaging internal and external events from start to finish.
- Strong communication, storytelling, and copywriting skills, with a collaborative approach to building relationships across global teams.
- Outstanding problem-solving abilities, high attention to detail, and a proactive, growth-oriented mindset.
- Exposure to executive administrative support, project delivery, or budget tracking in a dynamic office environment.
- Hands-on familiarity with workplace health and safety compliance, emergency protocols, and managing third-party facility suppliers.
- A passion for community engagement, sustainability, and fostering an inclusive workplace culture.
- Adaptability and flexibility to navigate shifting priorities, resolve scheduling clashes, and keep operations running seamlessly.
