The Colas Group operates internationally in all aspects of transport infrastructure. As part of the global organisation, Colas Ireland is primarily involved the distribution of bitumen products, emulsion and emulsifier manufacturing, and the provision of specialist road maintenance services on the national, regional and local road network. In Ireland Colas operates from 14 locations across the island of Ireland.

Purpose of the Role

We are recruiting a part-time Administrator to join our team in Dublin 12. The primary purpose of the role is to administer sales information and ensure it is accurately prepared for invoicing. This role supports sales, production and finance functions by maintaining customer records, uploading weighbridge data, preparing sales entries in the ERP system, and liaising with internal teams to resolve queries. The position is for 4 hours per day and offers flexible start and finish times provided the hours fall between 7:30am and 6:00pm, Monday to Friday.

Main Responsibilities

You will work with the weighbridge operator to ensure all delivery dockets are correctly issued for sales and upload weighbridge software data to the ERP system daily, ensuring any manual dockets are entered into the weighbridge software in advance. You will also add additional sales data from delivery dockets into the ERP system to prepare for invoicing, maintain customer records including contact details, sales rates, and any customer-specific invoicing requirements, and liaise with the Sales Manager to confirm pricing and obtain purchase orders from customers. The role involves liaising with the Plant Manager to compile a daily production report and working with the Finance team to resolve invoicing queries. Clear and professional communication with customers and colleagues, both verbally and electronically (phone and email), is essential. Additionally, you will comply with company health and safety policies and procedures.

The Ideal Candidate

The ideal candidate will be a strong communicator with excellent attention to detail and accuracy with proficiency in Microsoft Office. You will have previous expereince in a varied administartive role. We seek a reliable, flexible team player available to work 4 hours per day between 7:30am and 6:00pm, Monday to Friday.
