Finance Trainee (FTC)

Role Summary:

The Finance Trainee will provide administrative, finance, and operational support to the Finance Department, ensuring timely processing of invoices, accurate record keeping, compliance monitoring, and effective coordination with internal and external stakeholders.

Contract: Fixed Term Contract

Location: Mauritius, Port Louis (On-Site)

Key Responsibilities:

Finance Administration

  • Maintain and update the Bulk Discounts Sheet accurately and on a timely basis.
  • Assist with debtors’ management by following up on outstanding balances and
    coordinating with operators to resolve account-related queries.
  • Coordinate with FOPS regarding overhead and Unit4-related invoices and ensure proper posting of invoices.
  • Create and maintain vendor records in EMD, including completion of Dow Jones screening and Gatekeeper registration requirements.
  • Scan, download, file, and maintain vendor invoices in designated electronic folders.
  • Populate tracker for port invoices and ensure invoices are properly recorded and
    allocated to operators.
  • Assist spares billing activities.
  • Print Disbursement Accounts (DAs) following Quality Control approval and ensure timely dispatch to relevant stakeholders.
  • Prepare cheques and follow up on invoice allocations and supporting documentation.
  • Update and maintain petty cash and employee expense claim trackers, ensuring reconciliation and accurate posting.
  • Perform accounts reconciliations and escalate discrepancies for resolution.
  • Assist in printing payment vouchers and supporting invoices for payment processing.

Administrative Support

  • Order and maintain office stationery and water supplies.
  • Manage filing and document archiving to ensure accurate and accessible record keeping.
  • Raise IT support tickets and monitor progress until issues are resolved.

Compliance and Licences

  • Monitor insurance policies and follow up on renewals to ensure continuous coverage.
  • Track and coordinate renewals of statutory and operational licences.
  • Human Resources Support
  • Assist with filing and maintaining non-sensitive HR documents.
  • Support HRDC-related administrative requirements and submissions.

Candidate Requirements:

  • Diploma or Degree in Finance or ACCA level 1.
  • HSC Level with Accounting as main subject desirable.
  • Good knowledge of finance and administrative processes.
  • Ability to maintain confidentiality and handle information professionally.
  • Excellent written and verbal communication skills (English & French).
  • Computer literate (Microsoft Office) with ability to learn new software applications.
  • Able to work both independently as well as a member of a team.
