About the Role

We are seeking an Corporate Office Administrator to provide comprehensive administrative support and coordinate key site operations. In this role, you will oversee administrative processes, manage budgets and vendor activities, support facilities and employee engagement initiatives, and serve as a trusted partner to site leadership. You will play a critical role in ensuring efficient operations, effective communication, and a positive employee experience while driving continuous improvement initiatives across the site.

Key Responsibilities

As anCorporate Office Administrator, you'll be responsible for:

  • Coordinating and performing a broad range of administrative services to support organizational and site operations.
  • Preparing reports, presentations, communications, manuals, and other documentation required by management.
  • Supervising the day-to-day application of organizational policies and procedures to ensure compliance and operational effectiveness.
  • Managing administrative processes including purchase orders, vendor onboarding, supplier payments, and related documentation.
  • Monitoring site expenses, supporting budget preparation, and tracking budget performance against targets.
  • Coordinating facilities management activities through third-party providers, ensuring appropriate support for safety, EHS, and workplace-related matters.
  • Planning and coordinating employee engagement, community involvement, and corporate social responsibility events.
  • Supporting site communications, including announcements, reminders, emergency notifications, and employee updates.
  • Maintaining and reporting site headcount metrics and operational indicators.
  • Driving efficiency and continuous improvement projects to enhance administrative processes and site operations.
  • Reviewing records management and data entry processes to ensure data accuracy and compliance.
  • Building strong relationships with site leadership and providing direct support to directors and senior stakeholders.
  • Providing support outside regular business hours when needed to address urgent site matters and business priorities.

Requirements

As a minimum you must have:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of 5 years of relevant experience in administrative services, office management, operations support, or similar functions.
  • Experience managing administrative processes, including purchase orders, supplier management, and vendor payments.
  • Experience with budget tracking, expense management, and budget planning activities.
  • Knowledge of facilities management and basic understanding of workplace safety and EHS requirements.
  • Strong communication and interpersonal skills with experience interacting directly with senior leaders and directors.
  • Experience managing reports, records, and operational metrics.
  • Proficiency in Microsoft Office applications, including advanced Excel skills.
  • Intermediate to advanced English proficiency.
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.

Although Not Necessary, It Would Be Nice If You Have:

  • Experience coordinating employee engagement, community outreach, or corporate social responsibility programs.
  • Experience using Canva to create internal communications and visual materials.
  • Experience supporting site-wide communications or emergency response communications.
  • Knowledge of continuous improvement methodologies and process optimization initiatives.
