Key Responsibilities: Responsibilities include but are not limited to:
- Coordinate and confirm daily truck bookings with transporters/ haulers, ensuring sufficient trucks are scheduled to meet loading and shipment plans.
- Oversee and monitor truck loading activities on-site, ensuring trucks are loaded correctly, safely, and within scheduled turnaround times.
- Liaise directly with warehouse teams to push and follow up on the instructions for loading and shipment coordination, ensuring warehouse staff action cargo release/dispatch on time.
- Follow up with warehouses to ensure all loading and dispatch documentation (delivery notes, gate passes, weighbridge tickets, stock releases) is completed accurately and promptly.
- Maintain solid understanding of port operations at Walvis Bay (Namport procedures, gate access, vessel/berth schedules as relevant) to coordinate cargo movements in line with port constraints.
- Act as the on-site point of contact between transporters, warehouse staff, and the Logistics/Operations Manager, flagging bottlenecks, delays, or non-conformances immediately.
- Track and report daily truck turnaround, loading progress, and dispatch status to the Logistics/Operations Manager.
- Support resolution of on-site issues (truck delays, loading discrepancies, documentation gaps) by coordinating directly with the relevant parties on the ground.
- Ensure all activities are conducted in line with site HSSEQ (Health, Safety, Security & Environment as well as Quality) standards and procedures.
- Play an important link between on site and Logistics controller/Team lead in terms of execution, bookings, status updates
- Flag and raise issues if no resolution!
- Perform other ground-operations duties as required to keep cargo moving efficiently through the site.
Knowledge, Skills and Abilities
- Sound understanding of truck booking/scheduling and loading processes.
- Solid understanding of port operations and site/gate procedures at Walvis Bay.
- Strong follow-up and coordination skills — able to proactively chase warehouses, transporters, and documentation to keep operations moving.
- Good social skills; comfortable liaising directly and firmly with warehouse and transport staff to meet deadlines.
- Basic digital literacy (MS Office, email) for reporting and documentation checks.
- Practical, hands-on, problem-solving approach suited to a ground-operation's environment.
- Local knowledge of Walvis Bay logistics/port environment preferred.
- Valid driver's license will be advantageous.
- Fluent in English; local language skills will be advantageous.
