Purpose of the Role

BGIS is seeking an experienced Maintenance Delivery Coordinator to coordinate maintenance work orders, support project delivery, and ensure accurate administration and invoice processing across our social housing maintenance portfolio. Reporting directly to the Operations Manager, you will work collaboratively with clients, subcontractors, trades, and BGIS teams to ensure maintenance activities are completed efficiently, within KPI requirements, and to the highest standard of customer service.

The ideal candidate will be highly organised, customer-focused, proactive, and motivated by delivering exceptional outcomes through strong stakeholder relationships and effective coordination.

Key Responsibilities

  • 📋 Coordinate maintenance work orders from allocation through to completion.
  • Manage subcontractor engagement and monitor work order progress against KPI requirements.
  • Review, process, and validate trade invoices, ensuring accuracy and compliance with client requirements.
  • Respond to customer, client, and subcontractor enquiries via phone and email.
  • Liaise with internal and external stakeholders to ensure timely completion of maintenance activities.
  • Maintain accurate records and administration within BGIS systems.
  • Identify, report, and escalate hazards or operational issues as required.
  • Build and maintain positive relationships with clients, including Kāinga Ora and service delivery partners.

Education, Experience & Skills

Essential

  • Previous experience in a coordination, administration, scheduling, or maintenance support role.
  • Strong administrative and organisational skills with excellent attention to detail.
  • Experience managing multiple priorities and working in a fast-paced environment.
  • High level of computer literacy, including Microsoft Office applications.
  • Excellent verbal and written communication skills.
  • Strong customer service focus and stakeholder management capability.
  • Ability to work collaboratively within a team while taking ownership of responsibilities.
  • Strong problem-solving skills and the ability to work effectively under pressure.

Desirable

  • Experience within facilities management, property maintenance, construction, trades, housing, or service delivery environments.
  • Knowledge of maintenance workflows and subcontractor management.
  • Experience working with work order management or asset management systems.
  • Understanding of social housing or government service delivery environments.
  • Financial administration and invoice processing experience.

Workplace Flexibility

To support your success and integration into the team, this role will initially be based on-site in our Christchurch office. As you become established in the role and demonstrate capability, flexible working arrangements may be considered in line with business requirements.
