The Opportunity

Are you passionate about live events, production, and technical delivery? Do you enjoy coordinating people, solving problems, and bringing events to life? Are you keen to work across a wide variety of events, from large-scale outdoor festivals and concerts through to conferences, club events, and community activations?

Our Production Coordinator plays a key role in supporting the delivery of events and activities across the UCSA. Working closely with our Production & Operations Manager, you will coordinate technicians, manage production resources and equipment, and support the technical planning and delivery of a diverse range of events across Haere-roa and other UCSA venues.

Reporting to the Production & Operations Manager, the Production Coordinator is responsible for coordinating technical and production services for a wide range of student, commercial, club, and community events, while supporting the day-to-day operation of UCSA venues.

The role also involves responsibility for:

  • Coordinating casual production and event technicians

  • Producing event schedules and technical run sheets

  • Managing production equipment and resource bookings

  • Supporting clubs and clients with event planning and technical requirements

  • Coordinating contractors and suppliers

  • Managing production quotes and equipment hire requirements

  • Supporting Health & Safety compliance for events and contractors

  • Maintaining production equipment and recommending upgrades or replacements

  • Building strong relationships with clubs, clients, contractors, and stakeholders

  • Providing hands-on technical support during events where required

About You

We're looking for a highly organised and proactive individual who enjoys working in fast-paced event environments. You'll have experience in event production, technical delivery, or venue operations and be comfortable balancing competing priorities while maintaining excellent attention to detail. You'll also be comfortable working in active event environments, including occasional manual handling, venue setups, and evening or weekend event delivery.

You will be confident communicating with a wide range of people, from student club executives and performers to contractors, venue users, and internal stakeholders, not afraid to pick up the phone or sit in a meeting with them. You'll enjoy finding practical solutions, supporting others to succeed, and taking pride in delivering high-quality event experiences.

Due to the nature of the role and the organisation, an affinity for and understanding of students is important. The role also naturally requires some evening and weekend work to support events and activities.

Important Skills

  • Full, clean driver's licence

  • Formal training or certification in event production, audio visual technology, or a related field (desirable)

  • Experience in event production and technical delivery

  • Knowledge of sound, lighting, staging, and event production systems

  • Experience coordinating people, schedules, and production logistics

  • Understanding of Health & Safety requirements within event environments

  • Experience preparing quotes, managing budgets, or equipment hire processes

  • Strong organisational and communication skills

  • Capability to work with a variety of software systems and tools

  • Ability to remain calm and adaptable in live event environments
