Medical Office Manager/Practice Manager

Position Summary: Our busy and established Family Medicine and Urgent Care is seeking an organized, patient-focused Medical Clinic Office Manager to oversee the day-to-day administrative operations of our clinic. This role is responsible for supporting an efficient front office, clinical team and provider team, helping to maintain a welcoming, professional, and patient-centered office, coordinating efficient staff workflows, and helping ensure clinic procedures are followed consistently. The ideal candidate is a dependable leader with medical-office experience, strong communication skills, and the ability to manage competing priorities in a fast-paced healthcare setting.

Essential Job Functions: • Demonstrates excellent communication skills both written and verbal. Interacts as needed with administration, physicians and staff to ensure proper flow of communication. • Administers Organization policies and procedures in a consistent and timely manner. Leads by example. Has a clear understanding of Organization policies and procedures. • Works with Clinic providers and administrator to develop and maintain Clinic specific processes and procedures. Identifies issues associated with these processes and works with the Clinic staff to make improvements. • Oversees Clinic operations and supervises leads and supervisors. • Oversees lab operations-delegates in-services and maintains quarterly lab certifications are completed and submitted timely • Identifies areas of concern in PINPOINT and Phreesia utilization through reporting and makes changes where necessary • Maintains API testing and CLIA certifications. • Oversees imaging in-services and maintains necessary state and clinic regulations. • Assists with clinical operations and makes changes where necessary • Directs weekly front and back-office rhythms as well as monthly staff meetings and engages staff in making necessary changes • Oversees and/or completes payroll for the clinic • Actively participates in and engages staff and providers in VBC metrics and reporting • Assigns duties and monitors outcomes for exactness, neatness and conformance. • Prepares work schedules and expedites workflow. Coordinates time off. • Completes employee evaluations in a timely manner. Conducts true and honest evaluations of employees work performance. • Identifies and resolves problems in a timely manner. Engages with administrator on needed improvements. • Maintains harmony among workers and resolves grievances. • Assists with difficult or emotional patient situations. • Completes assigned tasks proficiently and in a timely manner. • Assist with billing, insurance verification, payment collection, and revenue-cycle workflows as applicable • Coordinates with administrator and providers for marketing to promote the clinic and its needs • Oversees the inventory and purchasing processes, maintains proper controls and budgets, make sure efficient supply levels are maintained. • Maintains adequate documentation for all aspects of management responsibilities. • Participates in the hiring, disciplinary and termination process.

Qualifications: -High school diploma or equivalent required; associate or bachelor’s degree in healthcare administration, business, or a related field preferred. -Previous experience in healthcare administration, or clinic management role preferred. -Experience supervising or coordinating administrative and medical staff preferred. -Familiarity with electronic health record (EHR) systems, scheduling software, insurance processes, and medical-office billing workflows. -Knowledge of patient privacy practices and healthcare compliance requirements. -Strong organizational, problem-solving, and time-management skills. -Excellent verbal and written communication skills. -Proficiency with standard office software and administrative systems. -Ability to handle confidential information with professionalism and discretion. Preferred Skills -Experience in a multi-provider clinic or specialty practice preferred -Working knowledge of prior authorizations, referrals, claims follow-up, and patient collections. -Ability to analyze workflows and implement practical process improvements. -Calm, service-oriented approach when handling patient or staff concerns.

Hours: Clinic hours are Mon-Fri 8:00am-8:00pm and Saturdays 9:00am-3:00pm

Additional Notes: Full time, benefitted position, 40 hours weekly.
