Summary

Duties of the Secretary are dictation transcription, filing, record keeping, appointments, interviews and general secretarial duties with an emphasis on special office duties in regard to criminal law. Duties also include managing tracking and the reporting of various funding streams within the office, as well as acting in a direct supervisory capacity in regard to any other clerical office staff, under the authority of the Supervising Attorney.

Includes difficult stenographic and typing work requiring a thorough understanding of criminal law, office rules, procedures and policies pertaining to the Family Defense Department. The position calls for the exercise of independent judgment. Unusual problems or situations, not previously encountered, are referred to the Supervising Attorney or this assistant before action is taken. The Confidential Secretary’s duties may include significant financial duties related to ensuring the accuracy and viability of complex funding streams for the office and the County. This position is also responsible for coordinating job duties, day to day court coverage and office issues under the authority of the Supervising Attorney.

Examples of duties

Acts as secretary to the Supervising Attorney. Takes and transcribes minutes of meetings and proceedings of hearings and conferences. Drafts and transcribes letters, memoranda and other material as needed. Manages all financial aspects of the office via Munis or designated IT system. Assists in the coordination of the annual budget. Holds regular support staff meetings. Manages, inputs and verifies all invoices. Is responsible for coordinating with the Treasurer’s Office all required reporting of various state grants, reimbursements and distributions.

Qualifications

Good knowledge of office terminology with emphasis on special office duties in regard to Family Law. Ability to type and transcribe at a satisfactory rate. Ability to process complex information about the office, our obligations to our clients and the county system in order to assist the Supervising Attorney effectively with day to day tasks and unexpected events. Ability to gather necessary information and make sound judgment calls required. Reliability and dedication to the mission of the office.

Supplemental information

Three to five years of clerical experience preferable in a law office which shall involve typing, dictation, general computer skills and managing complicated schedules. Graduation from high school.
