Tinkies Production Clerk manages inventory records, captures daily shift data.
Play a crucial role in ensuring proper stock levels for raw materials and packaging. Coordinates loading of Inter-Bakery trucks. Drive Shop floor development system.

Inventory Management

Check factory inventory levels and order baking ingredients and packaging material. Oracle purchase orders. Daily, weekly and monthly stock take. Oracle BOM. Capturing of daily recon. Ensure that the FIFO principle is applied to stock movements (raw materials, packaging and finished goods). Reduce and maintain write-offs and losses to a minimum and be able to explain stock variances above 0.05% daily/weekly and monthly.

Documentation & Reporting

Prepare batch documentation packs, check process control records for accuracy and maintain compliance records, supporting documents such as loading sheets, manuals, and any additional supporting documents to Tinkies recon. Ensures proper filing of all the production records for proper traceability. Prepare operational reports for Production Manager.

Staff Supervision

Monitor packaging and raw material usages as per the factory standard. Engage in TeamConnect and arrange training sessions Share key updates with the Factory floor during Team connect. Assign roles and responsibilities for the Loaders, Forklift and Packaging Operator.

Department Liaison

Handle escalated issues or complaints regarding delays or any service. Ensure internal customer i.e dispatch, telesales and stores department satisfaction through timely.

Scheduling

Ensure packaging and raw materials are issued as per the Bakeplan order. Liaise with production on the plan for the week and issue the packing and raw materials stock required.

Task/Duties of a Tinkies Clerk (Not limited to the below)

Review daily plans

Check for unsresolved issues, orders, delays, transfers, closing stock, etc Follow up on any outstanding tasks or pending decisions. Review and confirm daily activities. Identify high-priority tasks, time-sensitive orders, deliveries, loading or special instructions. Coordinate with Production supervisor on the stock levels and demand.

Prepare for peak periods

Identify expected busy time and ensure adequate stock of raw materials, packaging and resource allocation Be proactive when there is low supply or stock risk from the supplier.

Data Management

Track any deviations from the standard operating procedure.

Ensure the completion of OEE.

Ensure the completion of Damages Tracker.

Outbound

Supervise and coordinate the loading process of Inter-Bakery to meet delivery requirements. Ensure correct stock loading of trucks to preventing short or over loading. Ensure that the team always follow the loading SOP. Accurate verification of orders loaded on trucks (Invoice and allocated stock must match).

Inbound

Ensure that all stock from Production and Warehouse is inspected for visible damages, Expiry date and weight. Ensure all stock received (Packaging and raw material) is counted and Receipted Correctly within 3 working days on Oracle/Zycus. Ensure that Tinkies received from production, transfer cage to warehouse is counted accurately and agree with Production supervisors and Security and sign tinkies transfer sheet. Plan accordingly such as splitting the duties amongst the loaders e.g. allocate loader that will Load, wrap the pallets, loading Coastal trucks, Forklift Driver, etc

Expenses

Overtime Management and TES utilisation. Leave management. Ensure wages input sheet is correctly written and balance to daily wage norm Approvals on Workday. Assist Team with workday, Pay Queries. Work hand in hand with Supervisors and Administrator. Ensure employees are paid hours works i.e SACO hours.

Inventory

Daily stocktaking and reporting on stock level. Ensure stock accuracy through disciplined stock control and implement stock accuracy improvement initiatives. Ensure that no short loads. Ensure PODs are submitted on daily basis to settlements. Continuously communicate with dispatch about stock levels to avoid short date.
