Main Purpose of the Role
- This role is responsible for leading and coordinating the Administration and Claims functions within the Road division, ensuring accurate billing, claims processing, customer account maintenance, and compliance with company procedures. The incumbent will oversee VFT system administration, rate management, reporting, claims investigations, customer and supplier claim resolutions, and continuous process improvement to support operational efficiency, financial accuracy, and customer satisfaction.
Job Related Requirements
- Matric
- Supply Chain- / Logistics- / Administration diploma or certification
- Minimum 3-5 years' experience in administration, claims, logistics, or transport operations
- Proven supervisory or team leadership experience
- Strong understanding of transport administration, billing, claims, and financial processes
- Experience managing customer and supplier claims from initiation to closure
- Sound knowledge of root cause analysis and corrective action implementation
- Experience with systems, and Microsoft Office Suite
- Strong analytical, problem-solving, and decision-making skills
- Excellent communication, stakeholder management, and conflict resolution abilities
- Strong attention to detail with high levels of accuracy and compliance focus
- Ability to prioritise workload and manage multiple deadlines
Computer Literacy Level
- Microsoft Excel - advanced
- Any TMS system exposure - advanced
- FT – TMS system exposure - advantage
- Riskonnect – Claims system exposure - advantage

- Claims management experience within a logistics or transport environment

Duties & Responsibilities
- Administration
• Manage and maintain customer rate cards within VFT.
• Ensure accurate billing and invoicing processes
• Update and upload monthly customer rates.
• Generate and distribute operational and financial reports.
• Oversee the daily carrier portal process.
• Ensure compliance with billing procedures and company controls.
• Drive process improvements to enhance operational efficiency and data integrity. - Claims Management
• Oversee the end-to-end claims process for customer and supplier claims.
• Ensure claims are registered, investigated, and resolved within agreed timelines.
• Review supporting documentation and validate claim submissions.
• Liaise with customers, carriers, operations, finance, and insurers regarding claims.
• Conduct root cause investigations and implement corrective actions.
• Monitor claims trends and provide monthly reporting and analysis.
• Ensure compliance with claims procedures, SOPs, and contractual requirements.
• Drive reduction of repeat claims through proactive interventions. - Team Leadership
• Supervise and support Administration and Claims personnel.
• Monitor workload allocation and productivity.
• Conduct coaching, training, and performance management activities.
• Ensure adherence to company policies, procedures, and service standards.
• Foster a culture of accountability, continuous improvement, and customer focus.
