About the Role
As a Receptionist/Administrative Assistant for Y-Schools (Part of GUS France), you will be the first point of contact and first image of our campus for all our visitors. Apart from this, you also provide administrative support fort our General Services.
Key Responsibilities
Reception and daily facilitation:
- Ensure the physical and telephone reception (in both French and English) of all internal and external requests.
- Switchboard management and message taking.
- Sort and process mail (arrivals, franking, registered mail, inter-campus shuttles) and reserve loan equipment.
- Organize reception schedules and update practical information.
Administrative & General Services Support:
- Take charge of managing the mailbox dedicated to General Services and perform administrative and accounting tasks related to the department.
- Process orders (from placement to receipt) and invoices (recording, deposit, reminders, and payment tracking).
- Coordinate internal logistics: plan and monitor site work interventions; manage the vehicle fleet and book train tickets for employees during business trips.
- Draft letters, update databases, and prepare official documents (work declarations, public access building documents) while ensuring rigorous archiving.
Experience & Skills
- Holding a Bac/Bac+2 degree, you ideally have significant experience in a similar position combining reception and administrative management.
- You master the Office Pack and IT tools as well as reception and communication techniques.
- You master English in order to inform and guide an international audience.
- Diplomatic, cooperative, and endowed with great interpersonal and written communication skills, you know how to interact with all types of interlocutors in strict compliance with confidentiality.
- You demonstrate great rigor, autonomy, and responsiveness.
- You know how to manage stress when faced with the unexpected while respecting the deadlines entrusted to you.
Additional Information
- This position is held from Monday to Friday, with variable hours set according to the campus reception opening constraints.
- Fixed-term contract (CDD) until December 23, 2026 / Employee status / Full time
- Position based in Troyes.
