The Corporate Aviation team is seeking a Flight Department Scheduler to coordinate executive travel and support the safe, efficient operation of corporate flight activities. In this role, you will serve as a key connection point between passengers, crew members, vendors, and aviation operations while helping deliver an exceptional travel experience.
Our Team
The Atlanta Corporate Aviation team is responsible for supporting safe, reliable, and efficient air transportation services. This team works closely with company leaders, flight crews, vendors, and support partners to ensure exceptional service while maintaining operational excellence.
What You Will Do
- Coordinate company aircraft scheduling and communicate itineraries, schedule updates, and travel information to passengers and flight crews.
- Maintain awareness of aircraft location, operational status, and active trip logistics.
- Prepare and maintain accurate passenger and crew manifests.
- Coordinate crew accommodations, ground transportation, catering, and other travel support services.
- Support a professional, discreet, and customer-focused travel experience for all passengers.
- Maintain flight records, trip expenses, operational documentation, and billing activities for Atlanta-based aircraft.
- Process accounts payable activities, vendor setup requests, and expense reconciliations.
- Manage corporate aviation credit card expenses through Concur.
- Provide administrative and office management support for the aviation department.
- Support additional operational and administrative activities as assigned.
Who You Are (Basic Qualifications)
- Experience in flight planning, flight scheduling, aviation operations, aviation administration, logistics coordination, or a related support role.
- Experience coordinating multiple schedules, priorities, or travel-related activities while maintaining accurate records and documentation.
- Experience communicating with internal stakeholders, vendors, passengers, crew members, or customers in a professional business environment.
- Ability to handle confidential information with discretion and sound judgment.
- Flexibility to support the needs of a dynamic corporate aviation schedule.
What Will Put You Ahead
- Experience supporting corporate aviation, business aviation, executive travel, or flight department operations.
- Experience using aviation scheduling, flight planning, dispatch, or trip support systems.
- Experience coordinating travel logistics, accommodations, passenger services, or crew support activities.
- Experience with billing, accounts payable, expense reporting, vendor management, or cost allocation processes.
- Proficiency with Microsoft Outlook, Excel, Word, Concur, and other business applications.
