Role Overview
CGA is looking for a careful, organized, and proactive Junior Exams Associate to support the administration of AP, IGCSE, and A-Level examinations.
You will work closely with the Exams Operations team, helping maintain accurate student records, update operational trackers, prepare routine communications, and collect the information required at each stage of the examination process.
This is an entry-level role with clear processes, training, and support from senior team members. It would suit someone starting a career in education operations who enjoys detailed administrative work and wants to develop specialist knowledge of international examinations.
Key Responsibilities
Exam Registration Support
- Collect student subject selections and registration information.
- Enter and update student data in examination trackers and internal systems.
- Check records for missing or inconsistent information using provided checklists.
- Follow up on missing details under the guidance of senior team members.
- Prepare registration data for review before it is submitted to examination boards.
- Record amendments, withdrawals, and other changes accurately.
- Escalate errors, unusual requests, and deadline risks to the Senior Exams Operations Associate.
Documentation and Data Management
- Maintain accurate spreadsheets, shared folders, trackers, and student records.
- Organise examination documents using established naming and filing conventions.
- Keep internal records aligned across different systems.
- Complete routine accuracy checks and flag discrepancies.
- Help ensure required documentation is collected before internal deadlines.
Student and Parent Communication
- Prepare and send routine communications using approved templates.
- Respond to straightforward questions about examination dates, required documents, payments, and procedures.
- Help students and parents understand the next steps they need to complete.
- Keep a clear record of queries and follow-ups.
- Refer complex, sensitive, or unusual questions to a senior team member.
Timetable and Logistics Support
- Help prepare and distribute examination timetables.
- Update trackers with examination dates, times, formats, and locations.
- Collect information required for online and offline examination arrangements.
- Help identify potential timetable clashes or missing logistical details.
- Support communication with campuses and external examination centres under senior guidance.
Invoicing and Payment Administration
- Update invoice and payment trackers.
- Match payment information with student registration records.
- Send routine payment reminders according to agreed instructions.
- Respond to basic invoice-related queries using approved guidance.
- Escalate discrepancies, disputed charges, and complex payment cases.
Access Arrangements and Special Consideration
- Maintain records of approved access arrangements and special consideration requests.
- Collect supporting documents and track missing information.
- Monitor internal deadlines and send routine reminders.
- Prepare information for review by senior and academic team members.
- Escalate questions about eligibility or examination-board requirements.
Post-Exam Administration
- Help organise and distribute examination results.
- Update results and certificate trackers.
- Support the collection and recording of routine result queries.
- Maintain accurate post-exam documentation.
- Assist with certificate administration and delivery records.

- Familiarity with AP, IGCSE, A-Level, Pearson Edexcel, or Cambridge International examinations.
- Experience communicating with students, parents, or customers.
- Experience working as part of an international or remote team.
Previous examination experience is not required. Training and guidance will be provided.
