Summary
The Secretary of Allied Health provides comprehensive administrative and clerical support to the Allied Health division. This position serves as a key secretarial resource for faculty, program directors, students, clinical partners, and other stakeholders. Responsibilities include maintaining accurate student and clinical records, coordinating program-related administrative activities, supporting clinical education processes, preparing documentation for accreditation and program reviews, and ensuring that departmental records and processes are organized, accurate, confidential, and readily accessible.

SALARY: Appropriate placement on Salary Schedule E4 05 (range: $35,670 - $53,865).
ANTICIPATED START DATE: NOVEMBER 1, 2026
The position will be based initially at the Wallace Campus in Dothan.

Key Responsibilities
Administrative and Program Support
- Provide day-to-day clerical and administrative support for Allied Health academic programs.
- Serve as a primary administrative point of contact for students, faculty, program directors, clinical affiliates, and other stakeholders.
- Maintain calendars, schedules, correspondence, forms, reports, and other program documentation.
- Schedule meetings, interviews, orientations, advisory committee meetings, and other program activities.
- Prepare agendas, meeting materials, minutes, correspondence, and follow-up documentation as needed.
- Assist program directors and faculty with administrative projects, special events, recruitment activities, and student-related initiatives.
- Maintain organized electronic and physical filing systems for each program.
- Monitor office supplies, forms, equipment, and other administrative resources.
Student Records and Support
- Maintain accurate and confidential student records in accordance with institutional policies and applicable privacy requirements.
- Assist with the collection, organization, and verification of student documents.
- Maintain program-specific student files and track required documentation and deadlines.
- Assist students with routine administrative questions and direct complex academic or programmatic matters to the appropriate faculty or administrator.
- Support student onboarding, orientation, registration, progression, and graduation processes.
- Assist with tracking student compliance requirements, including required forms, certifications, immunizations, background checks, drug screenings, CPR certification, and other program-specific requirements, as applicable.
- Generate reports and provide documentation to program leadership as requested.
Clinical Records and Coordination
- Maintain accurate and confidential clinical education records for students participating in clinical experiences.
- Assist with collecting and tracking clinical placement documentation and student eligibility requirements.
- Maintain records related to clinical site assignments, affiliation agreements, student placement, clinical hours, evaluations, and other required documentation.
- Communicate with clinical education personnel and clinical affiliates regarding routine administrative matters.
- Assist with coordinating student clinical schedules, orientations, forms, evaluations, and required documentation.
- Monitor clinical documentation for completeness and follow up on outstanding items as directed.
- Maintain organized records of clinical site information and agreements.
Accreditation and Compliance Support
- Provide administrative support for accreditation, reaffirmation, program review, and other institutional compliance activities for the Allied Health programs.
- Assist faculty and program directors with gathering, organizing, formatting, and maintaining accreditation documentation.
- Maintain electronic accreditation files, evidence folders, reports, forms, meeting records, policies, and supporting documentation as needed.
- Assist with tracking accreditation-related deadlines, reporting requirements, action items, and documentation requests.
- Compile data and supporting materials for accreditation self-studies, site visits, annual reports, and program reviews as needed.
- Assist with maintaining documentation demonstrating compliance with programmatic and institutional standards.
- Help ensure that required records are complete, current, properly organized, and readily retrievable for audits, reviews, and site visits.
- Provide logistical and clerical support before, during, and after accreditation site visits and program evaluations.
Data Management and Reporting
- Enter, update, and maintain accurate information in institutional databases, student information systems, clinical tracking systems, spreadsheets, and other program-related systems.
- Compile routine reports and data for program directors and Allied Health leadership.
- Assist with maintaining tracking spreadsheets and dashboards related to student progression, clinical requirements, accreditation, and program operations.
- Identify missing or incomplete documentation and communicate discrepancies to the appropriate faculty or administrator.
- Maintain data integrity and confidentiality in accordance with institutional policies.
Communication and Customer Service
- Respond to telephone calls, emails, correspondence, and routine inquiries in a timely and professional manner.
- Provide accurate administrative information while appropriately referring academic, clinical, financial, or policy-related questions to the individual responsible.
- Communicate professionally with students, faculty, administrators, clinical partners, vendors, and members of the public.
- Exercise discretion when handling confidential student, personnel, clinical, and institutional information.
Qualifications
Qualifications
- Possession of an Associate's degree from an accredited institution is required.
- A minimum of one year’s full-time work experience in an office, customer-service, clerical, secretarial, or administrative-support role is required.
- Previous experience in higher education is preferred.
ADVISORY COMMITTEE: The President will appoint an Advisory and Interview Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interview, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. From all the applications received, an advisory committee will select the applicants to be interviewed.
