Receptionist/Accounting Clerk

Job Summary

Responsible for handling front office reception and administration duties, including greeting guests, answering phones, sorting, and distributing correspondence, ccoordinating front-desk activities and company inquiries. Our receptionist is the first point of contact and the face of our company. Basic bookkeeping and accounting functions.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office and Excel
  • Hands-on experience with office equipment (i.e., fax machines and printers)
  • Professional demeanor and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • High school diploma or equivalent

Responsibilities

  • Greeting and welcoming guests as soon as they arrive at the office
  • Provide visitors with safety video, and direct them to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (i.e., pens, forms, and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries
  • Order front office supplies and keep inventory of stock
  • Any other clerical receptionist duties such as filing, photocopying, and faxing
  • Perform basic bookkeeping, such as basic accounting functions (enter AP invoices, filling, setting up new vendors)
  • Monitor and tracking of certificates of insurance compliance
  • Adhoc duties as needed in the accounting department
