As an HR Recruitment & Selection Coordinator, you will help create a positive and seamless experience for candidates and hiring teams from the first application through onboarding. You will coordinate the logistics, communication, scheduling, and administrative activities that keep the recruitment and selection process moving efficiently and ensure candidates and hiring teams have the information and support they need at each stage.

You will serve as a key point of contact for applicants and hiring teams, answering questions, providing timely updates, and helping navigate recruitment policies, procedures, and systems. You will coordinate pre-employment compliance requirements and onboarding activities, maintain accurate information in the Applicant Tracking System and HRIS, and help ensure each step of the process is completed accurately and on time.

This role also provides opportunities to get out into the community and help build Ada County’s talent pipeline. You will represent Ada County at job fairs, college recruiting events, career workshops, and other outreach activities—connecting with prospective candidates and sharing the opportunities available through a career with Ada County.

POSITION GENERAL SUMMARY:
Coordinates and administers the recruitment and selection process to support an efficient, consistent, and positive experience for applicants and hiring teams. Serves as a primary point of contact throughout the recruitment lifecycle, providing information and assistance regarding recruitment processes, policies, procedures, systems, and status updates. Coordinates recruitment logistics, including scheduling interviews and selection activities, processing pre-employment compliance requirements, and arranging onboarding activities. Maintains accurate and timely recruitment records in the Applicant Tracking System and HRIS and supports the integrity of recruitment data and documentation. Represents Ada County at job fairs, college recruiting events, career workshops, and other recruitment and outreach activities to promote employment opportunities and support talent attraction efforts.

DISTINGUISHING FEATURES OF THE CLASS:
The Recruitment and Selection Coordinator performs varied, moderately complex work under general supervision and according to pre-defined guidelines.

Examples of duties

  • Collaborates with Ada County departments and offices to plan and coordinate employee recruitment and selection activities, including developing, implementing, and analyzing recruitment and selection strategies and materials;
  • Serves as administrator of the Applicant Tracking System (ATS) software; tracks and maintains recruitment and selection activities and records through ATS;
  • Advertises employment opportunities via industry specific association websites, Social Media, or other identified sources; develops and maintains a network of contacts to help identify and source qualified applicants;
  • Advises applicants of job opportunities, application requirements, selection or non-selection, and status of application as needed;
  • Processes and directs applications to hiring manager(s) for review and reviews applications for employment as needed;
  • Develops and presents relevant training for county employees involved in recruitment and selection activities;
  • Assists with screening and interviewing applicants, and compiling interview questions as needed;
  • Partners with offices and departments to advise for appropriate skills testing;
  • Verifies Veteran’s Preference eligibility;
  • Consults with and advises management and supervisors in selection and pre-employment issues;
  • Advises candidate on pre employment processing requirements, provides necessary forms for processing and informs status of application as needed;
  • Coordinates or conducts pre-employment checks, including employment verifications, education verifications, motor vehicle checks, background checks, and arranges pre-employment drug screening;
  • Performs data entry into Human Resource Information System (HRIS);
  • Schedules employees for new employee orientation (NEO), communicates scheduled attendance with appropriate county staff, and works in cooperation with other HR staff regarding NEO related matters;
  • Collect, maintain and monitor Employment Eligibility Verification compliance;
  • Recommends, monitors, and evaluates effectiveness of recruiting goals, policies, procedures, plans, and priorities;
  • Represents Ada County Human Resources at career fairs and other recruitment related events;
  • Collaborates with other human resources staff in recruitment-related matters, including compensation, job descriptions and classification, communications and marketing, and HRIS;
  • Prepares and maintains electronic and paper employee personnel files.

ADDITIONAL FUNCTIONS

  • Compiles statistical information and documentation and prepares reports and recommendations;
  • Reviews and audits human resources forms, files, and records for compliance with employment regulations and laws;
  • Ensures compliance with federal, state and local laws and regulations and interprets and explains regulations, policies, and procedures;
  • Orders and schedules necessary skills testing;
  • Serves as backup for other human resource positions;
  • Completes special projects and reports as assigned; and
  • Performs related functions as required.

Qualifications

  • Bachelor’s degree from an accredited university in Human Resource Management or a related field, or equivalent combination of education and experience;
  • Two years’ experience in employee selection to include resume review, interviewing, coordination of selection activities and human resources generalist services preferred;
  • SHRM-CP or SHRM-SCP or SHRM Talent Acquitistion Specialty Credential a plus;
  • Must have excellent customer service skills and the ability to be flexible in responding to a variety of requests;
  • Knowledge of applicable laws and regulations including FLSA, ADA, EEO/AA, and Title VII of the Civil Rights Act preferred;
  • Knowledge of human resource administration and selection and recruiting methods;
  • Knowledge of EEO and non-discrimination laws regarding recruitment and hiring;
  • Knowledge of English grammar, spelling, and punctuation;
  • Skill in Microsoft Office and Adobe applications including Word, Excel, PowerPoint, and Acrobat;
  • Skill in NEOGOV Applicant Tracking System and Oracle-based HRIS programs strongly preferred;
  • Skill in project coordination, writing, and verbal communication;
  • Skill in using word processing applications and proofreading material;
  • Skill in organization, time management and ability to meet deadlines;
  • Ability to become proficient and learn application tracking software or other systems;
  • Ability to establish and maintain records systems;
  • Ability to review documents for accuracy, completeness, and compliance;
  • Ability to compile data and information for reports;
  • Ability to compose letters and memoranda;
  • Ability to interpret policy and procedure manuals;
  • Ability to communicate effectively verbally and in writing, including in front of audiences;
  • Ability to exercise tact and discretion and maintain confidentiality;
  • Ability to work under own initiative and utilize independent judgment;
  • Ability to maintain effective working relationships.

OTHER REQUIREMENTS

  • Must possess a valid driver’s license.

Supplemental information

  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;
  • May be required to lift up to 20 lbs.;
  • Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
