*Support the Artist Relations & Programming Strategy team with administrative and logistical tasks for ad hoc and ongoing projects and initiatives as they drive artist engagement via opportunities and*performances across Opry Entertainment Group (OEG). Reports to the Director of Artist Relations &Programming Strategy.
- Coordinate weekly communication, research, scheduling, setup, and execution of the Opry's artist introduction program.
- Maintain artist database, including industry invitation lists, event RSVPs, and outreach lists.
- Maintain updated reports/spreadsheets for artist consideration, including research, data input, and distribution.
- Support team with calendar management and scheduling of internal and external meetings.
- Attend meetings and assist at on-site events as needed. Type agendas, record meeting notes, follow up on action items and provide regular reports on key metrics and trade publications/news items as directed.
- Process and route industry ticket purchases and other requests.
- Manage inventory of retail products and coordinate delivery of gifts to artists/industry, both on and off-site.
- Provide general editing and design coordination for department presentations and informational requests.
- Assist with the planning and coordinating of Opry shows, showcases, industry events, and concerts when needed. May include attending events off-site and during evening and weekend hours.
- Obtain and manage artist payment information and new vendor setup for restaurant/entertainment venue performances. Manage routine check requests and payments across locations; reconcile any cancellations or other discrepancies in payment. Assist with tracking and processing contracts/performance agreements.
- Process expense reports and assist with creating and reconciling other financial documents and reports.
- Update and track expenses for approved project budgets. Receive, code, and prepare invoices for signature, processing, and filing.
- Maintain office and supplies, process orders and shipping needs, and more.
- Perform other duties as assigned.
Qualifications
Education
- Bachelor's degree in Business Administration, Marketing, Communications, or related discipline preferred or equivalent additional experience required
Experience
- 2+ years of related administrative experience, preferably in the entertainment indu
Knowledge, Skills and Abilities
- Excellent written and verbal communication skills
- High degree of accuracy, superior attention to detail, and strong organizational skills are essential
- Working knowledge of the various facets of the music industry preferred
- Must be able to handle confidential matters with discretion
- Ability to coordinate multiple projects simultaneously with differing deadlines
- Proficient computer skills, including Microsoft Outlook, Word, PowerPoint and Excel
