Position Summary

The Deal Desk Manager owns the process by which sales proposals, quotes, and customer agreements move from initial terms to a signed, revenue-ready contract. This role is the single point of accountability for deal structuring, pricing governance, and contract lifecycle management, ensuring every deal that closes is priced to protect margin, structured to accelerate revenue recognition, and documented in a way that holds up operationally and legally.

This is fundamentally a revenue-enablement role, not a compliance checkpoint. The Deal Desk Manager's core measure of success is how effectively the function helps the company close more revenue, faster, on terms the business can defend — by removing friction from the deal-approval process while protecting the company from deals that erode margin, create legal exposure, or complicate revenue recognition.

As the company scales, this role is also responsible for building the deal desk function from the ground up: designing a formal contract lifecycle, standing up an approval matrix, selecting and implementing supporting tools (CPQ / CLM), and establishing the policies that let Sales move quickly without creating downstream risk.

Position Responsibilities

Deal Structuring & Revenue Opportunity

  • Partner directly with Sales during active deal cycles to structure pricing, terms, and packaging that maximize revenue and margin while remaining competitive.
  • Proactively identify upsell, cross-sell, and expansion opportunities within a deal structure (e.g., multi-year commitments, bundling, tiered pricing) rather than simply reviewing what Sales proposes.
  • Model the revenue, margin, and cash-flow impact of non-standard terms (extended payment schedules, ramped pricing, unusual discounting) before approval.
  • Act as a trusted advisor to Sales on how to close difficult deals faster — reframing deal desk as an accelerant, not a bottleneck.

Contract Lifecycle Management

  • Design and own the company's end-to-end contract lifecycle: request → quote → structuring → legal review → approval → signature → handoff to finance/operations → renewal.
  • Maintain a library of standard contract templates, order forms, and clause language, minimizing the need for custom legal review on routine deals.
  • Track every active agreement's key dates (renewal, expiration, auto-escalation clauses) and ensure timely action ahead of each.
  • Serve as the point of coordination between Sales, Legal, Finance, and the customer during redlines and negotiation on non-standard agreements.

Approval Matrix & Governance

  • Build and maintain a formal, tiered approval matrix that routes each deal to the right approver(s) based on discount level, contract term, payment terms, and legal risk (see matrix below).
  • Set and periodically revisit discount bands, pricing floors, and standard terms in partnership with Sales and Finance leadership.
  • Maintain a clear audit trail of every exception granted, who approved it, and why — supporting both internal governance and any future audit or diligence process.
  • Identify recurring exception requests and recommend when a one-off exception should become a new standard term.

Tools & Systems

  • Own selection, implementation, and administration of the CPQ (configure-price-quote) and CLM (contract lifecycle management) tools that support the deal desk process.
  • Ensure the quoting tool, contract templates, CRM, and ERP/billing systems stay in sync so that what's approved is what's booked and what's booked is what's invoiced.
  • Build reporting and dashboards on deal cycle time, discount trends, approval bottlenecks, and win/loss by deal structure.
  • Continuously streamline the process — every added control should be evaluated against the friction it adds to closing revenue.

Cross-Functional Partnership

  • Sit at the intersection of Sales, Finance, and Legal; represent each function's requirements without letting any one function unilaterally slow down a deal.
  • Train and coach the sales team on deal desk process, pricing guardrails, and how to package a request so it moves through approval quickly.
  • Flag revenue recognition, tax, or compliance issues in deal structures early — before they become a signed problem.
  • Report regularly to sales and executive leadership on deal desk throughput, exception trends, and process health.

Position Qualifications

  • 5+ years of experience in deal desk, sales operations, contracts management, or a similar revenue-operations role, ideally in a mid-market B2B company.
  • Demonstrated experience building or significantly improving a deal desk, quote-to-cash, or contract approval process from a less formal starting point.
  • Working knowledge of CPQ and/or CLM platforms (e.g., Salesforce CPQ, DealHub, Ironclad, PandaDoc, Conga).
  • Comfortable reading and negotiating standard commercial contract language; knows when to involve Legal.
  • Strong financial fluency — can model discount/margin impact and understands basic revenue recognition concepts.
  • Excellent cross-functional communication; able to hold a firm line with Sales leadership when a deal needs to change.

Ideal Candidates Will Also Have

  • Experience in a founder-owned or privately held company that runs on a formal operating system (e.g., EOS/Traction).
  • Experience scaling a company through a similar headcount/revenue inflection point (roughly 300 to 600+ employees).
  • Familiarity with manufacturing, industrial equipment, or capital-equipment sales cycles.

Success Metrics

  • Deal cycle time from quote request to signature, trending down over time.
  • Discount leakage / margin protection versus published pricing guidelines.
  • Percentage of deals closing on standard paper versus requiring custom legal review.
  • On-time renewal capture rate and reduction in missed renewal/expiration dates.
  • Sales team satisfaction with deal desk responsiveness and turnaround time.
