Reporting to the Parts Manager, the Parts Specialist & Equipment Coordinator plays a key role in supporting both our customers and operations team. This role combines customer service, parts management, equipment logistics, and yard coordination. You will be at the center of daily operations, ensuring parts availability, maintaining equipment readiness, and contributing to an exceptional customer experience.

Main responsibilities:

Customer & Parts Support

  • Provide exceptional customer service by responding to requests in person, by phone, and email.
  • Assess customer needs and identify the right parts and solutions.
  • Search for parts using technical manuals, supplier platforms, and internal systems.
  • Prepare and present quotations to customers.
  • Process customer sales orders and coordinate deliveries.
  • Verify parts availability across the branch network and with suppliers.
  • Create and follow up on inter-branch parts transfers when required.
  • Place supplier orders and ensure timely replenishment of inventory.
  • Monitor inventory levels and maintain accurate records.
  • Build strong relationships with customers and suppliers through proactive communication and service.

Equipment Coordination

  • Manage the shipping and receiving process for equipment and attachments according to company procedures.
  • Perform incoming equipment inspections to identify damage, missing components, or irregularities, documenting findings with photographs.
  • Enter and maintain equipment information accurately within company systems.
  • Refuel equipment and verify fluid levels before dispatch or storage.
  • Clean equipment before shipment and upon return to maintain Manulift's quality standards.
  • Perform minor repairs and cosmetic touch-ups when required.
  • Coordinate daily with Rental, Service, Transportation teams, and leadership to ensure operational efficiency.

Yard Management

  • Safely guide carriers during loading and unloading operations.
  • Organize equipment and attachments in the yard according to company standards.
  • Maintain a clean, safe, and professional yard environment.
  • Monitor and manage equipment and attachment inventory across the yard.
  • Ensure equipment is properly staged and ready to support customer and operational needs.

Experience and desired skills:

  • Minimum of 2 years of experience in parts, equipment coordination, customer service, logistics, or a related field.
  • Strong customer service and relationship-building skills.
  • Comfortable working with computer systems and inventory management software.
  • Mechanical aptitude and interest in heavy equipment and machinery.
  • Strong organizational skills and attention to detail.
  • Ability to work independently while collaborating with multiple departments.
  • Knowledge of industrial or heavy equipment parts is considered an asset.
  • Forklift, yard, or equipment handling experience is an asset.
  • Supervisory experience is considered an asset.
