What You Will Be Doing
In this individual contributor role, you will manage high-volume transactional workflows including quoting, purchase order validation, billing coordination, and asset transfers across different international time zones (US and EU business hours). Your day-to-day will involve scrutinizing complex transfer agreements, flagging discrepancies, and acting as a primary operational liaison via shared inboxes and internal channels. Success in this position requires meticulous attention to detail, a process-oriented mindset, and the ability to triage and resolve issues collaboratively to maintain our service level agreements (SLAs).
What You Will Bring to ChargePoint
- Prepare accurate and timely quotes for customers in the US and EU regions, applying appropriate pricing, currency, and regional tax/VAT requirements for spare parts and warranty renewals.
- Validate customer Purchase Orders (POs) against agreed quotes, ensuring accuracy in item descriptions, quantities, pricing, and delivery details.
- Process orders promptly within our systems and coordinate with the Billing team to guarantee accurate and on-schedule invoicing.
- Manage end-to-end asset transfer requests for CPaaS (Charging-as-a-Service) and standard assets, ensuring all documentation is legally executed and meets compliance standards.
- Analyze complex transfer scenarios, including 3rd-party involvements and unavailable sellers, by applying elevated scrutiny and routing for appropriate approvals.
- Identify and prevent fraudulent or incomplete asset transfers by rigorously verifying buyer/seller identities and matching station details to ChargePoint records.
- Triage and manage incoming requests via team distribution lists, shared inboxes, and Slack channels, strictly adhering to established SLAs.
- Collaborate cross-functionally with Sales, Legal, Finance, and Customer Success to resolve complex order blockers and escalate issues as necessary.
- Maintain detailed quote logs, follow up on pending or expiring quotes to drive conversion, and provide consistent status updates on open cases.
Requirements
- 0–2 years of experience in order management, operations, customer support, or a related field (fresh graduates are welcome to apply).
- Bachelor's degree in any discipline (e.g., B.Com, BBA) or equivalent experience.
- Excellent written and verbal communication skills in English, with the ability to articulate clearly in professional emails and cross-functional discussions.
- Strong attention to detail with a proven ability to spot errors, inconsistencies, and discrepancies in financial or legal documents.
- Ability to multitask and effectively prioritize workflows in a fast-paced environment under pressure.
- Willingness and ability to work night shifts to support US and EU business hours.
- Basic proficiency in MS Office (Outlook, Excel, Word) and familiarity with modern productivity tools (Slack, Google Workspace).
Preferred Qualifications
- Prior exposure to order management systems, ERP tools, or CRM platforms such as Salesforce or NetSuite.
- Understanding of commercial terms, including net payment terms, purchase orders, and invoicing processes.
- Experience operating within a global operations or shared services environment.
- Familiarity with DocuSign or other e-signature and document management platforms.
