POSITION GENERAL SUMMARY:

Provides high level direct specialized support to the Forensic Pathologists and Forensic and Investigative Divisions. Manages the forensic and medicolegal administrative transcription and paraprofessional activities of the division. Serves as a resource of department related information, assists office administrator in developing and implementing policy and procedure and assures effective office coordination.

DISTINGUISHING FEATURES OF THE CLASS:
Forensic Administration and Transcription Specialist I performs direct key support and transcription duties and encompasses a broad range of knowledge in the forensic and medical fields.

Examples of duties

  • Serves as a liaison for the forensic pathologists to government offices and legal agencies;
  • Transcribes forensic pathology reports accurately and in a timely manner, according to transcription guidelines, standards and style of formats of practice;
  • Transcribes letters, memos and other reports as dictated by forensic pathologists and staff of the forensic division;
  • Accurately assess information in the form of operative reports, medical history and physical reports, clinic notes, laboratory reports and radiology reports as they relate to dictated information;
  • Recognizes, interprets and evaluates inconsistencies, discrepancies and inaccuracies in medical dictation and appropriately clarifies and flags as needed;
  • Ensure compliance with Federal and State laws, including, but not limited to the Health Insurance Portability and Accountability Act (HIPPAA);
  • Ensure compliance with office policy and procedure;
  • Manages staff calendars and communicates with legal offices and outside agencies in regards to court testimony and trial dates;
  • Documents chain of evidence and release of confidential documentation;
  • Serves as the primary point of contact for agencies enquiring about pathology services rendered;
  • Prepares types and maintains medicolegal correspondence, files, reports, logs, records and other documents;
  • Processes sensitive and confidential case work;
  • Monitors certificate of death documentation for legal accuracy and corresponds with the Bureau of Vital Records and Health Statistics;
  • Monitors transcription modules and digital recorders to ensure proper working order and responsible for troubleshooting issues and performing diagnostic measures;
  • Responsible for notarizing legal documentation for the Ada County Coroner's Office as a Notary Public of Idaho.

ADDITIONAL FUNCTIONS:

  • Facilitates preparation and or / prepares official correspondence;
  • Makes travel and accommodation arrangements;
  • Assist with general receptionist duties when necessary;
  • Maintains and inventories office supplies;
  • Performs other related functions as required.

Qualifications

  • Associate's Degree from an accredited university in a field such as Medical Administration, Biology or a related field including coursework in Anatomy and Physiology and Medical Terminology preferred. Equivalent combination of education and experience may be considered;
  • 1 year of medical transcription experience required for II position;
  • Strong background in forensic pathology in order to understand and edit pathologic documentation;
  • Proficient computer skills including experience with dictation software, Microsoft Word, Excel, PowerPoint and Outlook;
  • Experience using a foot pedal and/or hotkeys for transcription purposes;
  • Experience managing staff calendars and communicating with legal offices in regards to court testimony, trial dates and release of confidential documentation;
  • Eligible and willing to obtain a Notary Public of Idaho certification;
  • Ability to prioritize and manage daily caseload based off of numerous variables;
  • Knowledge of legal, business and medical formats of English grammar, vocabulary, spelling and punctuation;
  • Knowledge of legal process;
  • Knowledge of medical terminology, language and references;
  • Knowledge of general office practices and procedures;
  • Skill in operating word processing software to include document template creation and maintenance;
  • Skill in proofreading material with complex medical terminology of all anatomical systems;
  • Ability to type 65 wpm accurately minimum;
  • Ability to make decisions on routine matters in accordance with established policies;
  • Ability to exercise tact and courtesy while working under pressure;
  • Ability to work independently with minimal supervision utilizing critical thinking skills to troubleshoot situations;
  • Ability to maintain complex multi-departmental clerical records;
  • Ability to organize and utilize time effectively to complete tasks assigned in a timely manner;
  • Ability to maintain effective working relationships.

OTHER REQUIREMENTS:

  • The incumbent is subject to a criminal records and background check;
  • The incumbent will work closely with law enforcement, attorneys, emergency personnel, medical professionals and other agencies.

  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;
  • Requires sitting at a desk for long periods of time, up to 8 hours and ability to lift 20 lbs.;
  • Requires frequent repetitive movement of the wrists, hands, and/or fingers;
  • Requires sufficient personal mobility and physical reflexes, to permit the employee to function in a general office environment and accomplish tasks;
  • Requires emotional and psychological resilience when exposed to sensitive and potentially traumatic case material in the form of documents and photographs.
