Summary
The Administrative Specialist of the Transit Division Coordinates and participates in a variety of financial and/or personnel support services essential to operation of the Transit Division and carries out various assignments as a staff assistant to the Captain and performs related duties as required.
The Metro Nashville Police Department (MNPD) is a 24/7/365 operation. Examples of duties
- Performs professional-level administrative work.
- Keeps the division commander informed about activities occurring within the department which could have a direct effect on operations.
- Interprets policies, rules and regulations as required.
- Analyzes and recommends methods for improving work flow in such areas as record keeping systems, forms control, and general office operation.
- Assists in budget preparation for the department.
- May interview job applicants, conduct orientation of new employees, and plan training programs.
- Makes initial review of complaints and resolves those which fall under delegated authority.
- Works on special projects as directed by the division commander.
- Researches and gathers relevant statistical, financial, and personnel data used in planning and decision-making.
- Develops and recommends courses of action open to the department and analyzes their probable consequences.
- Prepares concise reports on projects and recommendations.
- Implements and/or oversees implementation of projects.
- May conduct presentations, seminars, or workshops.
- Provides direct support for the division commander.
- Serves as a liaison between the division commander and other people.
- Acts on behalf of the division commander in administrative matters.
- Prepares directives and difficult correspondence for the signature of the division commander.
- Follows up on the implementation of departmental directives for the division commander.
- Schedules meetings/appointments for the division commander.
- Attends meetings on behalf of the division commander.
- Maintains records and disseminates information as necessary.
- May oversee and participate in the work of a clerical staff.
- May handle confidential and sensitive information.
- Regular and punctual attendance.
- Liaison in coordinating various activities, and in communicating highly sensitive information to division personnel.
- Gathers statistical, financial, and personnel data used in planning and decision making.
- Makes initial review of complaints and resolve, or refer to appropriate person.
- Receive, check for accuracy and signatures, all requests for requisitions, invoices, etc., for the division.
- Prepares and disseminates all payroll status changes within the department.
- Maintain office files.
- Keeps accurate records of all employees and vacancies within the division.
Qualifications
EDUCATION AND EXPERIENCE
High School Diploma or equivalent plus ten (10) years of experience in financial or personnel support services.
*Additional education in lieu of some experience. (1:1 Ratio)*

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
