Summary

The Administrative Services Officer 3 (Fleet Management Fuel Program) is a full-time civil service position within the Metro Nashville Department of General Services. The primary function for this title in General Services (Fleet Division) is to oversee, coordinate, plan, participate in, and monitor the daily operation of all assigned needs within OFM to include but not limited to, monitoring the daily operation of Metro fuel sites including WEX usage, Electric Vehicles chargers and usage, along with tracking and reporting for all aspects of the fuel office.

The men and women in Metro’s General Services Department are there to make sure the rest of government works. From ensuring that our city’s vehicles run safely and smoothly, to keeping city buildings up to par to providing printing services and more, General Services is the support that allows other Metro departments to focus and achieve their missions.

Examples of duties

  • Oversees and participates in design and implementation of various management and efficiency studies.
  • Studies and recommends human resource needs for effective internal organization, staffing patterns, workflow, work simplification, equipment specifications, or procurement.
  • Researches problems and recommends solutions for maintenance or acquisition of financial resources required for department.
  • Formulates specialized financial, statistical, and personnel data used in analysis process.
  • Prepares the most comprehensive and difficult reports for management and justifies solutions.
  • Prepares and delivers presentations to management staff.
  • Performs various supervisory functions.
    • Assigns and reviews work.
    • Approves leave requests.
    • Evaluates employee performance.
    • Counsels with and corrects employees as needed.
  • Attends management meetings, sessions, conferences, etc., relating to current management needs.
  • Directs, coordinates and participates in more complex personnel, financial, or administrative programs.
  • Negotiates workable agreements to correct problems.
  • Provides authoritative advice on fiscal, administrative, or personnel-related programs.
  • Assists with preparation and/or presentation of annual budget.
  • May coordinate financial activities with other departments.
  • Reviews and analyzes statistical and financial information.
  • May confer with division heads concerning their budget and related activities.
  • Anticipates and investigates budgetary needs of the department.
  • Oversees ordering of office equipment, supplies, and repairs and services for department.

Qualifications

EDUCATION AND EXPERIENCE

Bachelor's Degree and Two (2) years of professional experience in an administrative or technical field.

Additional experience may be considered in lieu of education

Candidates with accreditations earned in a foreign institute are encouraged to apply.

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

Supplemental information

  • Experience using Faster Fleet or similar Fleet information system
  • Experience planning and organizing comprehensive business and administrative services
  • Proficient in Microsoft Office Software to include Excel, Word, and Power Point
