Executive Assistant to CEO & CFO

YOUR NEXT OPPORTUNITY:

NZME is seeking a highly organised, proactive and trusted professional to support our Chief Executive Officer and Chief Financial Officer while leading the administration and coordination of our Board, Board Committees and Advisory Boards. This is a unique opportunity to work closely with senior leaders, directors and stakeholders across one of New Zealand's leading media organisations, playing a key role in executive support, strategic business initiatives and governance.

HOW YOU'LL MAKE IT HAPPEN:

Executive Support

  • Provide high level support to the CEO and CFO.
  • Manage complex calendars, meetings, events and travel arrangements.
  • Coordinate executive communications, presentations, reports and briefing materials.
  • Manage highly confidential and commercially sensitive information.

Governance & Board Administration

  • Coordinate Board, Committee and Advisory Board meetings.
  • Prepare and manage governance calendars and schedules.
  • Coordinate agendas, papers, board packs and meeting logistics.
  • Manage governance records, action registers and documentation.
  • Support Annual Shareholder Meeting planning and delivery.
  • Maintain governance systems and board portals.

Reporting & Strategic Coordination

  • Coordinate the preparation of Board and Executive reporting.
  • Assist with annual reporting, investor materials and governance documentation.
  • Work with leaders across the business to gather and collate information.
  • Support strategic planning sessions, governance workshops and executive initiatives.
  • Build trusted relationships with Directors, Executives and key stakeholders.
  • Act as a central coordination point across governance and executive activities.
  • Manage communication with Board and Advisory Board members.
  • Support corporate events, governance sessions and leadership activities.

WHAT YOU'LL BRING TO OUR TEAM:

You'll be a highly capable Executive Assistant with sound judgement, exceptional attention to detail and the ability to confidently engage with senior stakeholders.

You'll also bring:

  • Extensive experience (7+ years) supporting senior executives or C-suite leaders.
  • Experience working within a governance, listed company, legal, company secretarial or professional services environment is essential.
  • Exceptional organisational and planning skills.
  • Advanced Microsoft Office skills.
  • Outstanding written and verbal communication skills.
  • The ability to manage multiple priorities and deadlines.
  • Absolute discretion and professionalism.
  • An approachable and relationship focused style that enables you to build trust across all levels of the organisation.
  • A genuine desire to contribute to NZME's culture and create positive experiences for colleagues, directors, stakeholders and visitors.
  • A continuous improvement mindset and willingness to challenge the status quo.
