IT Project Coordinator

The IT Project Coordinator coordinates and supports the delivery of small to medium-scale IT projects, reporting to and working under the guidance of the Director of the IT Project Management Office.

This position supports a wide range of strategic and operational initiatives. The Project Coordinator works with the Director and project managers on communication, documentation, and progress tracking. The coordinator manages small projects independently or with a project management mentor, progressing to larger and more complex projects as experience grows, and serves as primary point of contact for the projects they manage.

A significant component of the position is supporting PMO operations and the administration of the IT project portfolio. The Project Coordinator maintains portfolio data accuracy, contributes to data curation and dashboard development, tracks licenses, onboards new users, participates in vendor coordination, and serves as a resource for users of the IT project portfolio.

Responsibilities include:

  • Scheduling and facilitating meetings, including preparing meeting agendas
  • Documenting minutes and action items
  • Monitoring timelines and following up with responsible parties as appropriate
  • Coordinating kick-off and close-out meetings with key stakeholders
  • Developing project status and close-out reports

The coordinator also supports PMO partners with business case and project plan templates and contributes to the ITS and OneIT Governance processes. Strong interpersonal and communication skills are essential, as the role involves frequent collaboration with university faculty, staff, and leadership.

This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of employment. Per policy, work arrangements will be reviewed annually and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

This position is not eligible for University sponsorship for employment authorization.

Qualifications

Required Qualifications:

  • Bachelor’s degree in a field relevant to the position or an equivalent combination of education and related experience.
  • Typically, 2 months or more of project management experience working on small, medium, or large-scale projects. Internship and student experience will be considered.
  • Experience using a project or portfolio management tool such as Smartsheet or equivalent, including building reports or views.
  • Excellent interpersonal, customer service, and teamwork skills, with demonstrated ability to develop and foster positive working relationships.
  • Demonstrated ability to work both independently and collaboratively within a team.
  • Ability to work effectively with distributed teams and stakeholders across multiple organizational units without direct reporting authority.
  • Ability to communicate effectively, both verbally and in writing, with all levels of management and project team members.
  • Proficiency in utilizing Microsoft Office 365 and Microsoft Office tools, such as MS Word, MS Excel, MS SharePoint, and MS PowerPoint.
  • Proficiency with online collaboration tools such as MS Teams and Zoom.

Desirable Qualifications:

  • Background managing projects in an information technology environment is highly desired.
  • Familiarity with collaboration and diagramming tools such as Visio, JIRA, and MIRO is highly desired.
  • Familiarity with writing requirements, documenting workflow, and other business process management activities.
  • Experience developing and reporting on key performance indicators and project metrics.
  • Experience with process improvement.
  • Demonstrated problem-solving ability, including transforming technical and business requirements into solutions.
