Summary

Under general supervision, develops and implements a comprehensive system for the storage and retrieval of departmental records and supervises the work of staff assigned to the records management function.

Examples of duties

  1.  Designs, develops and installs a comprehensive records management, storage and retrieval system.
    
  2.  Develops and implements departmental policies for manual and automated records management systems.
    
  3.  Instructs all departmental personnel in the organization and function of the records management system.
    
  4.  Installs comparable records management systems in satellite locations and ensures proper maintenance processes.
    
  5.  Selects appropriate equipment to support the records management function.
    
  6.  Plans and conducts system surveys to identify opportunities to improve work methods.
    
  7.  Compiles data for periodic reports.
    
  8.  Indexes and cross references files, records.
    
  9.  Answers questions and advises on procedures.
    
  10. Audits records for consistency, appropriate format, and content.

  11. Compiles information in response to requests and subpoenas.

  12. Trains and supervises staff assigned to assist in the records management activity.

  13. Reviews and evaluates staff work in progress for quality and quantity.

  14. Makes adjustments in staff assignments and work flow.

  15. Resolves problems or conflicts related to the maintenance or release of records.

Qualifications

Bachelor’s degree, preferably in a field related to Records Management.*

Two years experience in the design and management of general or specialized records management systems including one year in a supervisory capacity.

Equivalent combinations of education and experience may be submitted to meet the education and experience requirements of this position.

Licenses, Certifications, and Other Special Requirements:
Certification as a Records Manager, preferred.

Physical Demands
The employee generally remains in a stationary position for an extended period of time operating standard office equipment which may include computers, telephones, photocopiers, and fax machines. The employee is expected to move about to accomplish tasks such as opening file cabinets and moving files. Must be able to lift, push, pull, and carry up to (45) pounds.
