JOB SUMMARY
The Administrative Supervisor is responsible for the efficient, day-to-day management of the company's canteen and dormitory facilities, ensuring all meals, living environments, and related services meet health, safety, and satisfaction standards.
This role works closely with the counterpart supervisor who oversees security, cleaning, landscaping, and general office administration. Both supervisors are expected to collaborate on cross-functional projects, emergency response, and resource sharing to ensure seamless site-wide operations.

RESPONSIBILITIES
A. CANTEEN MANAGEMENT
• Oversee meal planning, food quality, portion control, and menu variety.
• Manage catering vendor relationships; monitor contract compliance, performance, and cost control.
• Ensure compliance with food safety and hygiene standards (e.g., HACCP, local health codes); conduct regular kitchen and storage area inspections.
• Collect and analyze employee feedback; implement continuous improvement initiatives.
• Manage canteen inventory, equipment maintenance, and utility usage within budget.
• Handle monthly reconciliation of meal costs, subsidies, and billing.
B. DORMITORY MANAGEMENT
• Supervise daily dormitory operations, including room allocation, check-in/check-out, and occupancy records.
• Ensure dormitories are clean, safe, and well-maintained.
• Enforce dormitory rules; address resident complaints, conflicts, or disciplinary issues promptly.
• Coordinate periodic room inspections and pest control services.
• Manage maintenance requests and liaise with the facilities team for repairs.
• Prepare monthly occupancy reports and cost allocation.
C. CROSS-FUNCTIONAL COLLABORATION
• Serve as the primary backup and coordination partner to the supervisor responsible for Security, Cleaning, Landscaping, and Office Administration.
• Jointly plan and execute site-wide initiatives (e.g., emergency drills, employee events).
• Share on-call duties for after-hours emergencies (e.g., fire, medical incidents).
• Exchange best practices and provide mutual coverage during leaves or peak periods.
• Participate in joint budget planning and resource allocation for shared services.
D. GENERAL ADMINISTRATIVE SUPPORT
• Draft and revise canteen and dormitory policies (e.g., meal service standards, dormitory rules, hygiene protocols) and oversee implementation upon approval.
• Supervise on-site disposal of scrap materials and obsolete assets at designated collection points to ensure compliance with company procedures.
• Prepare and maintain departmental reports, logs, and documentation of canteen and dormitory.
• Coordinate with the purchasing team to procure canteen and dormitory supplies within budget.
• Supervise, train, and schedule support staff (e.g., cooks, dorm cleaners, dorm administrators).
• Ensure all activities comply with company policies, processes, and local regulations.
• Perform other duties as assigned.

KNOWLEDGE & EXPERIENCE REQUIRED
• Bachelor's degree in Hospitality Management, Business Administration, or a related field. Diploma with extensive experience may be considered.
• Minimum 8 years of hands-on experience in canteen/food service and/or dormitory/hostel management. Experience in a manufacturing or large-campus environment is a plus.
• Strong budgeting and cost-control skills; excellent interpersonal and conflict-resolution abilities.
• Food Safety/Hygiene certification is preferred. First Aid/CPR certification is a plus.
• Experience in drafting service-related policies and knowledge of scrap disposal procedures is preferred.
• Willingness to work flexible hours during peak mealtimes or emergencies.
• Strong sense of responsibility, integrity, and service orientation.
